Abstract

The development of digitalization technology has significantly facilitated data and document management in a safe, easy and fast manner. The author designed an archiving system for incoming and outgoing letters for a sub-district using the prototype method. This method was chosen because it is able to provide a visual and functional description of the system to be built. The system design is depicted using flowcharts and Use Case Diagrams. This system is expected to increase efficiency, security, and reduce paper use to make it more environmentally friendly. With digital technology, archives of incoming and outgoing letters can be stored, managed and accessed electronically, thereby reducing the need for physical storage space and making it easier to search for letters. This system can also be accessed from anywhere and at any time via the internet, saving physical storage costs.
